SaKS considers proper handling of personal data to be of great importance and is aware of privacy legislation. SaKS is responsible for the careful handling of the personal data of students and their parents. In this privacy statement, we would therefore like to explain how we handle the personal data of students and parents. For the more extensive, more legal explanation of the handling of personal data within SaKS, we refer to the SaKS Privacy Regulations. These can be made available upon request.

Why does SaKS process personal data of students and parents?

SaKS processes personal data of students and parents to execute the educational agreement we have with the student’s parents and/or to comply with our legal obligations.

In addition, SaKS processes personal data of students and parents to be able to fulfill its obligations as an educational institution. For example, we need personal data to register the student as a student at our school, to keep track of progress, and to enable the student to obtain a diploma. In addition, we have a legal obligation to forward certain personal data to other parties, such as DUO (Ministry of Education, Culture, and Science) and the compulsory education officer.

Furthermore, SaKS may process personal data of students and parents through camera surveillance. SaKS has a legitimate interest in this. By using camera surveillance, SaKS can prevent and register nuisance, such as vandalism and other criminal offenses by third parties (such as burglary, theft, or destruction). SaKS does this to protect the safety and health of students, parents, employees, and visitors. The privacy of students and parents is guaranteed as much as possible, as camera surveillance only takes place outside school hours. In addition, the camera images are only viewed in the event of a report of an incident and by a management member designated by SaKS or their replacement. The images are kept for a maximum of four weeks, unless an incident is visible on the images. In the latter case, the images are kept until the incident is resolved.

Personal data that we do not process based on one of the above grounds will only be processed with consent. If consent is requested for processing personal data, such as for the use of visual material (photos and videos), students and parents can withdraw or still give consent at any time. However, changing consent does not apply to visual material that has already been published.

What personal data does SaKS process of students and parents?

We process various types of personal data, some of which we have received directly from you as parents. You can think of contact details and place of birth. If you refuse to provide the personal data necessary for us, we cannot fulfill our obligations. Providing this personal data is therefore a condition for being able to enroll the student at SaKS. We also receive personal data via the support team.

Which personal data we process of students and parents can be found at the bottom of this privacy statement in the table Categories of personal data.

At your own request and with your explicit consent, we can also process medical personal data of the student. This is limited only to personal data necessary to act properly in emergencies. For example, you can report that the student has epilepsy, so that we can act adequately in emergency situations. SaKS will never force you to provide such personal data.

How do we handle the personal data of students and parents?

When processing personal data, we always start from necessity; we will not process more personal data than is necessary to fulfill our rights and obligations as an educational institution. This also means that we will not use the personal data for purposes other than those mentioned in this explanation.

In a number of cases, as previously indicated, we are obliged to share personal data of the student with other organizations. These include DUO, the compulsory education officer, the education inspectorate, GGD/school doctor, partnership, and accountant.

We may request commercial third parties to support the processing of personal data for the aforementioned purposes. Think of applications to support students in class, an administration system where personal data is not stored on our own network but at another organization, or a timetable program. This always happens on behalf of and under the responsibility of SaKS. We conclude agreements with these organizations, in which, among other things, it is established which personal data is processed and how this personal data is secured.

We will not share personal data with commercial third parties for other purposes. We will also never sell or rent personal data to third parties.

We use systems in which personal data is stored encrypted as much as possible, and only those employees who need it for the performance of their work can access the personal data. In addition, we do not keep personal data longer than necessary. We use various retention periods for this that are legally regulated and established. If you are interested, we can provide you with an overview of the retention periods we use.

Security

Security of personal data is of great importance to us. We therefore take appropriate technical and organizational measures with regard to the personal data we process, against loss or against any form of unlawful processing (such as unauthorized access, impairment, modification, or provision of the personal data).

What rights do students and parents have?

As a student or parent, you have a number of rights regarding your personal data. Our school was already ‘mobile-free’, but the current agreements are being tightened. These stricter measures stem from various scientific studies, which show, among other things, that children experience much more peace and focus when the distraction of the phone or smartwatch is missing. Even without these studies, we can understand this from our own experience.

At our school, the use of a mobile phone or smart device (for example, a smart watch) during school hours is not allowed. This also applies on the schoolyard. Children may, if parents wish, for example because children live further from school, bring a mobile phone to school. However, we advise not to bring/give mobile phones and other devices to school. After all, calls can also be made using the school phone. If children do bring a phone, they keep their mobile phone switched off in their bag, at least as soon as they enter the schoolyard. He is a Boulab dog; a medium-sized dog. A Boulab is known as a friendly, intelligent, and watchful dog with a gentle character. A school dog comforts, helps, and listens. He gives children more self-confidence and helps them feel at ease. This helps shy children come out of their shell, for example, and he can add a lot in the social-emotional and intuitive areas.

Dex is a good listener and helps children who sometimes have a hard time. It doesn’t matter if a child slips up or mispronounces a word. A school dog is patient, doesn’t comment, and won’t laugh at or correct them. In this way, students gain more pleasure and self-confidence in reading.

Dex helps children communicate clearly with their classmates. Dogs are just like people: if you aren’t clear with them, they don’t understand what to do. With the school dog, you can play command games in the classroom, outside, or in the playroom. The dog mirrors your behavior. If you are unclear and/or have an uncertain body posture or soft voice, he won’t understand you. This way, you can make the link to classmates; they won’t listen either if you don’t say very clearly what you want from them.

These rights are laid down in law. You have the following rights:

Right of access: you have the right to view the personal data we process of them.

Right to rectification: you have the right to correct or supplement the personal data we process of you if it is incorrect or incomplete.

Right to object: you can object to the processing of your personal data and to direct marketing.

Right to erasure: you can request that we delete your personal data.

Right to withdraw your consent: if you have given us permission to process personal data, you can withdraw this consent at any time.

Right to data portability: if technically possible, you have the right to have the personal data we process about you transferred to a third party.

Right to restriction of processing: in some cases, you can request us to limit the processing of your personal data (whether temporarily or not).

With your request, we may ask you to identify yourself. We request data for this purpose to ensure that you are the correct person to whom the personal data belongs.

In principle, we will comply with your request within one month. However, this period can be extended by two months for reasons related to specific privacy rights or the complexity of the request. If we extend this period, we will inform you in a timely manner.

If you wish to exercise one of your rights, you can make this known via avg@saks.nl.

Filing a complaint
If you have questions or want to file a complaint about the use of your personal data, you can contact us using the contact details at the bottom of this privacy statement. If you feel we are not helping you correctly, you have the right to file a complaint with the supervisory authority.
